The Situation

An Ontario legal practice wanted landlords to be able to prepare the official Landlord and Tenant Board N4 notice for unpaid rent without having to decode Board paperwork. The journey had to be simple: pay, answer plain-language questions, download a completed PDF, and optionally hand over to a licensed paralegal for filing or representation. We built LTB Forms from scratch, and it is now live at ltbforms.ca.

The Constraint

The N4 is a regulated legal notice. Rent owed, the date it was served and the termination date all have to line up exactly the way the Board’s official PDF expects. Landlords give up when the legal wording gets hard, and chasing leads who never pay is expensive for a small practice. The product also had to make clear it isn’t run by the Landlord and Tenant Board.

What we did

We built the full web app: the marketing site, the guided form, payments, PDF generation and the email follow-up.

Pay before the form opens: the landlord enters their email, pays through Stripe, and the form unlocks once the server confirms the payment. We put payment at the start, not the end, so the core product isn’t given away to people who never buy.

A guided form, not a blank PDF: four plain-English steps cover tenants, rent periods, landlord or representative details, and how the notice was served. If the landlord skips a month between rent periods, the form asks about it, so rent owed isn’t silently miscalculated.

The Board’s own form, filled on the server: answers are written into the official N4 PDF. Extra rent periods are combined to fit the form’s fixed number of rows. The landlord downloads the finished notice straight away and gets a copy by email.

Paralegal help as a separate step: after finishing the N4, landlords can add filing or hearing representation with a second payment. Keeping it separate means the form price is always clear.

Follow-up without a custom CRM: every email captured at the start joins an automated email sequence in ActiveCampaign, which stops as soon as the landlord buys. Promo codes work at checkout, and Google Tag Manager tracks the funnel.

The trade-off

We skipped user accounts and a database. Form progress and access are kept in the landlord’s browser for that visit. That kept the build small and gets landlords to a finished PDF faster, with no passwords. The cost is that progress doesn’t follow them to another device unless they use the payment link from their email, and the practice has no in-app history of drafts. For a single form bought and finished in one sitting, that was the right balance.

What we would do differently

We would add a simple order and lead record from day one. Today, the practice learns about every lead and purchase by email only, so answering “how many N4s did we sell last month?” means searching an inbox. A small store of leads and orders would give the team reporting and faster support, without changing anything for landlords.
